Why Every Event Needs a Timeline That Actually Works
Planning a wedding, birthday, or milestone celebration is exciting… until the timeline hits you like a wave of stress. I’ve worked with clients who planned every detail themselves and others who brought me in for day-of coordination - the difference is always the same: having a timeline on paper is one thing, making it actually work on the day is another.
Even the most detailed schedules can fall apart when real life shows up. Guests run late, vendors need extra setup, small emergencies pop up - and suddenly, the carefully planned day feels chaotic. Why I love this part: I get to be the calm in the storm - checking in with vendors, adjusting little details, and keeping everything moving so that when guests walk in, it all looks effortless.
2️⃣ Buffers Between Key Moments
No event ever runs perfectly on schedule. People take their time between moments, vendors need a beat to reset, and unexpected things happen. A smart timeline accounts for those breathing spaces without feeling rigid.
Why this matters: Even if things start to shift, I’m there to adjust on the fly - moving a cue, reshuffling a transition, or improvising to keep the day flowing naturally.
3️⃣ Wrap-Up + Contingency
The final moments of a celebration matter just as much as the first. Vendors need to break down, rentals get returned, and sometimes surprises pop up at the last minute. A timeline should include this wrap-up - but more importantly, someone needs to be there to make sure it all happens smoothly.
